Headway Pricing

Payment Method
The payment method on Headway.co is as follows:
Clients can update their payment method by logging into their Headway account, clicking on their initials in the top-right corner, and selecting Account. From there, they can update the payment method on file. They can link their bank account or a card directly here. If they add their bank account, they will have to agree to the ACH Authorization.
Headway always needs a payment method on file, even when clients are fully covered. This is to ensure the therapist is paid for their work in the event of a cancellation fee or an update to insurance. If there's ever a change to coverage and pricing, Headway helps clients make sense of it. Appointment reminders always show an expected price.
If a client's payment method is unsuccessful after a few tries, it will be removed from the system automatically. The client will be notified via email if there's an issue with payment after the first try. If it does get removed, the client can add it back the same way they did previously.
Clients can pay directly with some FSA/HSA cards. Not all HSA/FSA cards allow for online transactions. If a client is receiving an error when trying to add their card, this transaction is likely not allowed by their card issuer. If they don't have a card (or they are unable to use their card online) and want to submit for reimbursement, they can use the invoices they’re emailed after each session. They can also download their invoice for each appointment via the Past Appointments page in their account.
Once initiated, refunds will return to the original form of payment and will be reflected on the client's statement within 3-5 business days after they are processed. If the original payment method is no longer in service (expired, frozen, canceled), and the refunds have not reached the client, they should let Headway know.

How To Open A Headway Account?
To open an account on Headway.co, follow these steps:
- Visit the website, headway.co.
- Click the Log in button in the upper right hand corner.
- Instead of logging in, select Create new account.
- Follow the instructions to set up an account.
- Once all of the requested information is entered, select create account.
After creating an account, it's important to complete the account by entering insurance information, adding a payment method, and acknowledging standard forms. This can be done by logging into the account, clicking on the initials in the top right corner, and navigating to Account in the dropdown menu.
To add insurance information for the first time, click the Add button, located next to or below the Insurance heading, and enter the information. The system will automatically verify the benefits.

Headway Return Policy?
The return policy of Headway.co is as follows:
Each provider on Headway sets their own cancellation policy for their practice. A cancellation policy is an agreement between the client and the provider that outlines how much will be charged if the client cancels within a certain window of time (typically 24 to 48 hours before the session).
If a client cancels a session within the provider’s predetermined cancellation window or misses the session without communicating to the provider beforehand, a cancellation fee may be charged. This fee is not covered by insurance.
The client can find the therapists’ specific fees and required cancellation window in the session reminder emails. They can also discuss this with the provider via the messaging portal or during the first session.
If a client needs to cancel or reschedule a session, they can do so in the Appointments section of their account. To modify the session details, they need to navigate to the session they want to adjust, select the "Cancel Session" button, and from there, they'll have the option to message the provider to reschedule the session or click on the "cancel appointment" button to cancel without rescheduling.
If a client needs to change a virtual visit to in-person, or an in-person visit to virtual, they'll need to contact the provider directly.
Refunds are provided at Headway's discretion and subject to laws and their policies. A refund will be provided if the request is found acceptable. Once initiated, refunds will return to the original form of payment and will be reflected on the client's statement within 3-5 business days after they are processed.
For providers, the cancellation fee will apply when the cancellation is initiated by the client. Cancellation fees are paid in full to the provider, not to Headway. These payments will appear in the provider's regularly scheduled paycheck.
Providers can set or update their cancellation policy by visiting their billing page, clicking "Update cancellation policy", entering the cancellation fee they'd like to set, and choosing a 24-hour or 48-hour cancellation window. The maximum cancellation fee cannot exceed $200.
